For this reason we think it’s a good idea to celebrate the work of one of these exceptional people and at the same time run through what he endures daily to give perspective and provide insight into what and who makes Industrial Cleaning Specialists tick.
The early bird catches the…
It begins with a 6.00 am start and Andrew Chan, Operations manager is ready to tackle another day.
Managing a 20 person crew, split into a number of different operational groups is no easy feat.
Responsible for the effective daily operations of the red-line cleaning, grounds care, building maintenance, coatings and sand bird proofing divisions, Andrew has a lot to contend with.
His first task is to allocate personnel with the relevant qualifications for each specific job.
This task alone includes a range of specific skills from members of the team who are NZQA certified permit receivers and trained in height safety, confined space, elevated work platform and industrial rope access. Each team member is inducted to work at each specific site.
This of course is presuming all staff are onboard for the day, otherwise his juggling skills become that much more important and are required not only to find placement but fill newly created gaps in the employee structure.
No time to shuffle paper – get it done and move on
When Andrew completes that task he must then ensure all relevant Job Safety Analysis Sheets (JSA) have been correctly prepared and the site foreman is briefed so that each team can carry out a daily tool box meeting with the corresponding job sheet.
Once all the paperwork is completed then all the vans being used that day are inspected for necessary safety equipment, relevant tools, cleaning chemicals and paint colours. It’s vitally important that the correct equipment get to the right job site, otherwise efficiency is compromised, time is wasted and costs can escalate.
By the time this is done, its now around 9.30 and after a quick coffee Andrew is onto his next ‘to do’ – liaise with the accounts department to ensure all the paperwork from the previous day’s work and job sites are complete and allocated to the correct client order number.
Once all the documents are signed off and any outstanding issues sorted, it is time to hit the road and visit each of the job sites being worked on that day.
There is no substitute for face to face meetings
In person visits are there to ensure a number of things:
- That all work is carried out correctly
- To meet with the client’s site managers and ensure they are happy with the job being done and it complies with the job sheet and the agreed upon work specifics
- Unique’s staff comply with all site health and safety regulations
- If the client requires any extras to be carried out over and above the original quote, Andrew will ensure that all the correct paper work is in place and the team members on site are briefed accordingly and that any extra tools or chemicals are arranged
While out on the road Andrew also visits pending job sites for a full inspection. Here he can assess the site to ensure all relevant and needed equipment will be available for the job and that a full JSA is completed.
Planning for tomorrow and beyond
Back to the depot by around 3.30pm Andrew hits the timing perfectly for the daily meeting with the sales team who update him with upcoming jobs and clients, including start dates. All these prospective jobs are then entered on the planning board and team members juggled to ensure the correct teams and qualified staff are available for them.
Sometime between 4 and 5pm Andrew can begin his wind down for the day and put on his forward thinking cap to anticipate and co-ordinate tomorrow’s schedule.
It’s also a great time to chat with the returning team members about any problems they experienced during the day – their highs and lows and how he, as Operations Manager can help sort them out or avoid them from happening in the future.
